Mission & Bylaws

Article I – Name: The name of the organization shall be the Albany Booster Club.

 

Article II – Purpose: The purpose of the Albany Booster Club shall be to support and promote the athletic and extracurricular  programs of the Albany School District, with a specific focus on Albany High School. The Booster Club Officers shall maintain open communication with other volunteer organizations that serve the school district to ensure clear coordination of resources.

 

Article III – Membership and Voting: Membership shall be open to all individuals interested in supporting the athletic, and extracurricular programs of the Albany City School District. Membership dues shall be determined by the board. All items are voted on by the executive board.  All Board members have 1 vote.  Majority rules.

 

Article IV - Executive Board 

Section 1: Composition: President, Vice President, Treasurer, Secretary and concession manager and additional at large  members as elected or appointed by the board.  Executive board members shall chair committees as needed.

 

Section 2. Officers

A. Officer Positions:  The officers will be elected by the membership and shall include a President, Vice President, Secretary, Treasurer and Concession Manager.  Only parents, legal guardians of enrolled Albany City School District students, teachers, coaches or other district personnel of the City School District of Albany are eligible to be officers. Other community members who can demonstrate relevant connections to the current student experience may also serve.

 

B. Vacancies:  In the event that an officer cannot perform or choose not to perform their duties for their entire term, the remaining officers may appoint a replacement.  The person(s) appointed shall hold office until the end of the term. 

 

C. Duties of Officers: 

 a) President: The President shall preside at all meetings of the Albany Booster Club and shall be responsible for the general management and supervision of the affairs of the organization. The President shall also appoint all committee chairs and shall perform such other duties as may be assigned by the board.  The President shall meet at least annually with the Superintendent and the High School Principal.  

b) Vice President: The Vice President shall perform the duties of the President in the absence of the President and shall perform such other duties as may be assigned by the board. The Vice President shall meet regularly with the Athletic Director.

 

c) Treasurer: The Treasurer shall be responsible for the financial affairs of the organization, including the collection and disbursement of all funds.  The treasurer shall prepare, with the assistance of the finance committee,  and present an annual budget and monitor expense and income activities throughout the year.  The Treasurer shall keep accurate and complete records of all financial transactions and shall prepare a financial report for each meeting of the board. The Treasurer shall be responsible to maintain all tax documents and 503c filings.  The Club shall conduct activities allowed under Section 501(c)(3) of the Internal Revenue Code and Regulations as they now exist or as they may be amended.

 

d) Secretary: The Secretary shall keep accurate and complete records of all meetings of the Albany Booster Club and the board. The Secretary shall also handle all correspondence and perform such other duties as may be assigned by the board.  The Secretary shall meet at least annually with the District Director of Communications.

 

e) Concession Manager:  The concession manager shall provide oversight of inventory management, home game management, event staffing, and coordinate with the treasurer on all financial matters.  The Concession Manager shall meet regularly with the Operations Principal.

 

D. Term:  The term will be for one year, from July 1st to June 30th. 

 

E. Election:  Officers shall be nominated at the April meeting and elections held at the May meeting. New officers shall assume their duties on July 1st. 

 

Article V - Meetings

a). Meetings shall be held monthly at 6 pm on the 3rd Monday of each month or at a time otherwise designated by the board.

b) Meeting will be held in the Albany High School Library.

c) The Booster Club secretary shall record minutes at each meeting.

d) Board members shall vote on any action items presented at meetings.

e) All meetings are open to the community.

 

Article VI - Committees

Committees can be formed as determined necessary by the board for areas such as finance, concession, fundraising, Falcon 5K, scholarships.

 

Article VII - Finances - Athletic teams and extracurricular clubs and organizations may request funds to support their mission.  The Booster Club will review all requests and issue funds when the request meets the funding criteria outlined by the finance committee.  These procedures shall be written by the Finance Committee and reviewed annually.

 

Article VIII - Amendments - These bylaws can be amended.  Amendments must be proposed by an elected officer and approved by the majority of the current members.
